Managing Events Manually Creates Chaos

Handling cash registers, physical books, and paper receipts is slow, confusing, and prone to errors.

Managing events manually creates:

Duplicate entries

Multiple collectors logging on paper registers results in duplicate records.

Missing records

Physical notebooks get lost, damaged, or entries get forgotten during events.

No transparency

Contributors and committee members cannot see real-time collection updates.

Endless WhatsApp messages

Spamming payment confirmations and transaction screenshots in group chats.

NotePay helps you:

Track contributions

Log collections instantly from any device with automatic real-time sync.

Manage expenses

Record and keep track of outflows next to your collections to monitor budgets.

Share public contribution pages

Give contributors a secure web portal to view live tracking and upload receipts.

Verify payment proofs

AI extracts text from transaction receipts to verify entries instantly.

Generate reports

Access full balance sheet summaries, contributor counts, and export data.

Collaborate with members

Share invite codes so multiple collectors can log entries simultaneously.

Built for Transparent Event Finance

Give every organizer and collector a clear, live view of contributions, expenses, balances, access, and public sharing.

Auto Contributions

Upload receipt → AI extracts details. Vision models automatically capture contributor name, amount, date, and transaction status to prevent manual errors.

Expense Tracking

Record and manage expenses. Easily log outflows under a separate tab, monitor live net balances, and verify remaining budget runway.

Member Collaboration

Multiple members can manage events. Share join codes with co-collectors so they can update the shared ledger in real time from their own phones.

Reports

View balance and collection summaries. Access live collection dashboards, contributor statistics, and download comprehensive PDF statement reports.

Transparency

Every entry has proof. Verify screenshots, track logging collectors, and share read-only link access with the public to keep your organization trusted.

Phone OTP & Profile Setup

Members sign in with mobile OTP, complete a simple profile once, and can stay securely signed in on trusted devices.

Custom Fields Per Event

Organizers can add optional custom fields separately for Contributions and Expenses, so each event can capture the details it actually needs.

Receipts for Contributors

Event members can generate and share clean PDF receipts for contribution entries, making it easier to confirm contributions with contributors.

Frequently Asked Questions

Quick answers about shared ledgers, sign-in, event access, and summaries.

What problem does NOTEPAY solve?
It replaces a physical contribution register. Multiple collectors can update one shared ledger at the same time, while organizers see live totals without carrying a notebook everywhere.
How does login and session security work?
Every new login requires mobile OTP verification. Sessions can stay active on each device, multiple devices are supported, and signing out requires OTP verification on the next login.
What happens when an event is deactivated?
Collectors are locked out immediately and the current event code becomes permanently invalid. The organizer can still view data in read-only mode and must generate a new code after reactivation.
What is shown in the Summary tab?
Summary shows totals only: total contributions collected, total expenses spent, balance remaining, number of contributors, and number of expense entries. Individual rows stay in their own tabs.
What are Visited Events?
Public events opened through a shared view link can appear under Visited Events, so users can return to recently viewed public ledgers from the dashboard.
Can members send receipts to contributors?
Yes. Contribution entries include a receipt-sharing action that creates a clean PDF receipt with contributor name, amount, date, collector, and event details.
Can organizers download event records?
Yes. Organizers can download a PDF report for an event with contribution rows, expense rows, custom fields, and financial summary totals.
Can organizers control what public viewers see?
Yes. Public access can be turned on or off, and contribution or expense table visibility can be controlled so at least one table remains visible.
