NotePay User Guide
A comprehensive operational reference for managing community events, collaborative ledgers, direct UPI contributions, and automated AI financial insights.
1. Authentication & Navigation Architecture
Mobile OTP Verification: Securely sign in using your 10-digit mobile phone number. Enter the 6-digit SMS verification code to establish your authenticated session without requiring static passwords.
Profile Personalization: Set your full name and display preferences upon first sign-in. Your verified name is displayed across all collaborative event ledgers, contribution receipts, and team activity logs.
Universal Navigation: NotePay provides an optimized multi-screen interface:
• Events (Dashboard): Unified portal displaying all organized, shared, and monitored event ledgers.
• + Create: Quick-action menu to initiate new events or join existing events via code.
• Notifications: Centralized activity feed displaying real-time financial updates and system insights.
• Profile: Manage account security, theme preferences, and customer support channels.

2. Dashboard & Workspace Organization
4 Dedicated Workspace Views: Efficiently organize and track events across four focused perspectives:
• All Events: A combined overview of every active event associated with your account.
• My Events: Events created and administered by you as the primary Organizer.
• Shared Events: Events you collaborate on as an authorized Collector.
• Watched Events: Public community initiatives you are tracking for financial transparency.

Live Financial Cards: Each event card highlights essential metrics at a glance, including total collections, total expenditures, net balance, target goal completion percentage, and active team member counts.
Real-Time Search & Filter Controls: Locate events instantly by keyword or apply multi-attribute filters based on Status (Active/Deactivated), Privacy (Public/Private), Pin Status, or Date Range (All Time, Last 30 Days, Custom Range).
3. Event Administration & Invite Codes
Creating an Event: Select Create Event and specify the Event Name (Required), Event Date (Required), optional description, and optional Target Goal (₹). The creator is automatically assigned the primary Organizer role.
16-Character Formatted Invite Codes: Every event generates a structured, formatted 16-character code (e.g.,
ABCDE-FGHI-JKLMN) to facilitate secure team collaboration without exposing database identifiers.Live Preview Before Joining: When entering an invite code via Join Event, NotePay dynamically renders an authenticated Event Preview Card displaying event name, organizer, and event date prior to confirming participation as a Collector.
Code Security & Regeneration: If an invite code is shared inappropriately, Organizers can regenerate the code immediately within Event Settings, invalidating prior codes while preserving existing team memberships.
4. In-Event Workspaces — The 4 Core Tabs
Each event provides a dedicated four-tab workspace for end-to-end financial operations:
Overview (Summary)
High-level financial performance dashboard: Net Balance calculation (Total Income minus Total Expenditure), progress against target funding goal, Top Contributors leaderboard, Collector Performance breakdowns, Category Allocation distributions, and printable PDF Report generation.
Collections
The primary income ledger recording contributor names, contribution amounts (₹), payment modes (Cash vs UPI), custom metadata fields, logged-by timestamps, and verification states.
Expenses
Expenditure ledger tracking outgoing disbursements, category tags (Logistics, Food, Supplies, Equipment), authorized spender identities, and attached bill/receipt images.
Team Chat & AI Advisor
Real-time team messaging with emoji reactions, message replies, and integrated
@ai financial queries for automated calculations and ledger insights.5. Collections Management & Rapid Entry
Recording a Contribution: Select + Contribution. Enter the Contributor Name, Amount (₹), choose the payment method (Cash or UPI), and input any custom column data.
High-Velocity "Save & Next" Entry: When managing high-traffic on-site check-ins, select Save & Next to record the entry and instantly prepare a fresh form for the next contributor without leaving the dialog.
Intelligent Duplicate Prevention: If a record with an identical name and amount was recently logged, NotePay alerts you with a verification prompt to prevent accidental double-entry.
Role-Based Modification Controls: Authorized Collectors can edit or delete entries they personally recorded. Organizers maintain administrative authority to audit, edit, or adjust all ledger records.
Search, Sorting & Personal Ledger Views: Instantly filter records by contributor name, sort by Time (Newest/Oldest), Amount (High/Low), or Name (A-Z), or toggle My Contributions Only to inspect personal collection totals.
6. Direct Contributions: UPI QR & AI Vision Verification
Payment Gateway Setup: Event Organizers configure their verified
UPI ID (e.g., organizer@bank) and UPI Registered Name within Event Settings.Dynamic Payment Portals: NotePay generates secure public contribution links and dynamic QR codes. Donors can scan the QR using standard UPI payment applications (Google Pay, PhonePe, Paytm, BHIM) or trigger direct app intents on mobile devices without requiring user registration.
Automated Optical Receipt OCR Verification: When a donor uploads a screenshot of their transaction confirmation, NotePay’s vision model automatically analyzes the receipt:
• Validates that the transaction beneficiary matches the Organizer's configured UPI details.
• Extracts the exact currency amount (₹), transaction timestamp, and sender name.
• Records the contribution into the verified ledger automatically.

Manual Submission Fallback: If a receipt image is low-resolution or partially obscured, contributors are seamlessly routed to a structured manual entry form for organizer review.
7. Expense Management & Receipt Auditing
Logging Expenditures: Select + Add Expense within the Expenses workspace. Input the expenditure description, amount (₹), category classification, and attach digital invoices or physical bill receipts.
Audit-Ready Receipt Previews: Inspect uploaded receipt images in high resolution directly within the ledger table, establishing transparent audit trails for all team members.
Automated Cost Aggregation: Expenses are automatically aggregated by category within the Overview tab, providing clear visibility into cost distribution across project areas.
8. Custom Ledger Columns (Dynamic Metadata)
Flexible Metadata Fields: Track event-specific details (such as Flat Number, Membership ID, Department, Phone, or Notes) by selecting + Column within the Collections or Expenses workspace.
Configurable Layouts: Select appropriate column width formats: Narrow, Medium, or Wide to optimize table presentation on both mobile and desktop screens.
Column Management & Hiding: Select any column header directly in the table to rename the field, adjust display width, or choose Hide to remove it from view without deleting historical records.
Restoration & Purging: Access Hidden Columns to restore previously hidden metadata fields or permanently purge obsolete fields from the ledger.
9. Team Collaboration & AI Financial Advisor (@ai)
Real-Time Team Communications: Coordinate with team members within the integrated Chat workspace, featuring message replies and emoji reactions.
AI Financial Intelligence (@ai): Type
• "@ai what is our total verified collection to date?"
• "@ai what is our largest expenditure category?"
• "@ai calculate the remaining balance required to meet our target."

@ai followed by your natural language question. The AI financial engine performs real-time queries against the event database to return verified metrics:

10. Intelligent System Assistance & Notifications
Utility-Driven Assistance Engine: NotePay's automated intelligence engine is designed strictly to assist workflow efficiency, reduce data entry fatigue, and prevent accounting discrepancies.
Contextual Workflow Suggestions:

Silence-by-Default Policy: Operational tips enforce strict anti-fatigue cooldown periods to ensure notification feeds remain clean and focused on essential event activity.
11. Public Portals & Community Transparency
Public Transparency Mode: Organizers can enable Public Access within Event Settings to publish a transparent, read-only ledger. Community members can inspect collections, disbursements, and net balances without logging in.
Event Watcher Tracking: Authenticated users can select Watch Event to pin community initiatives to their Watched Events dashboard folder.
Real-Time Contribution Alerts: Public Watchers can configure their notification preferences to receive real-time push alerts whenever new contributions are verified.
12. Role Governance, PDF Balance Sheets & Preferences
Organizer Role
Full administrative governance: configure payment parameters, manage custom metadata columns, assign collector roles, manage member access, export PDF reports, and deactivate or delete events.
Collector Role
Collaborative data entry: joined via 16-character invite code. Can view ledgers, record income and expenditures, edit/delete personal entries, and interact in Team Chat & @ai.
Restricted Role
Access restricted by event administration. Restricted accounts are prevented from accessing event ledgers, recording data, or viewing team discussions.
Printable PDF Balance Sheets: Generate formal, formatted PDF financial reports including itemized contribution schedules, categorized expenditure logs, and summary balance metrics for audits and stakeholder presentations.
Theme Preferences: Toggle between Dark and Light mode within your Profile settings for instant system-wide synchronization.
